Job Description 1) to control management and storage, condition and safety of Division’s documents before submission of them to Nazarbayev University (hereinafter - the University) Archive; 2) to transfer files to the University Archive according to the File Register of the Division; 3) to develop draft File Register of the Division; 4) to maintain the document management of the Division; 5) to issue, keep, store blanks of the University to be protected in the unit 6) dealing with incoming correspondence, requests from structural divisions of the University, timely replying to e-mails and applications from citizens that are within Division’s competence; 7) keeping Division employees time sheets; 8) participation at promotion of the academic programs and recruitment events in order to attract applicants/candidates to the University programs within the Division’s competence; 9) carrying out acceptance and processing of the applicants'/candidates’ documents, working with the applicants'/students’ database, if tasked by the Head; 10) preparation of the inventory lists and act of acceptance-transfer of the Division’s files to the Archive; 11) ensuring the provision of stationery and other products that are necessary to the Division 's functioning; 12) collaborating with the University divisions Division within his/her competence; 13) maintenance the confidentiality of information concerning the personal data of applicants/candidates/students, the activities of the University, except where such disclosure is required in the work of the Division within the competence and/or upon the instructions of the management of the University; 14) informs the Head in a timely manner of possible risks, threats, appearance of extraordinary situations for timely preventive action; 15) upgrades the qualifications in accordance with the job description; 16) timely and proper fulfillment of orders of the Head and the University management; 17) observe the requirements of the legislation of the Republic of Kazakhstan and the University`s internal documents; 18) is responsible for exercising the labor and performance discipline; 19) is responsible for ensuring the integrity of official document, and disclosure or leakage of confidential and business information, as well as information of restricted distribution which shall not be disclosed according to the requirements of the legislation, Charter and internal documents of the University; 20) in case of dismissal, is responsible for timely transfer of all paper documentation, digital information, inventory to another employee as instructed by the line manager (to be certified by the act of acceptance-transfer). Qualifications Education : Higher-professional, preferable from the higher education institutions with English language of instruction. Priority specializations: - Educational Management; - Technical; - Humanities; - Science Work experience : Required work experience is 1 (one) year with Bachelor/Specialist degree. No work experience is required with Master’s degree. Knowledge: - knowledge of the legislation of the Republic of Kazakhstan in the field of education; - knowledge of MS Office, Excel, PowerPoint; - knowledge of English, Kazakh, Russian. Skills: - skills in working with databases and large amounts of data; - record management skills; - well-bred speech and communications skills; - critical thinking; - building effective relations; - communications skills; - ability to work in team.
