We are looking for a highly organized and detail-oriented Document Controller to join our Commercial Department. In this role, you will be the backbone of our administrative operations, ensuring that reporting is accurate, documentation is seamless, and communication across departments remains fluid.
Key Responsibilities
1. Reporting and Data Consolidation
Collect and consolidate data to prepare comprehensive monthly departmental reports.
Coordinate with stakeholders, reviewers, and the Finance Department to gather comments.
Systematize and integrate feedback into final reporting packages.
Ensure the absolute accuracy and reliability of all generated reports.
2. Document Management and Workflow
Register and route incoming/outgoing correspondence to the relevant team members.
Maintain the commercial department’s archives, ensuring both physical and digital documents are secure and easily accessible.
Organize and maintain the structure of shared folders and filing systems.
Compile contracts in accordance with corporate standards.
Prepare and submit documentation to the Legal Department for review.
Maintain strict confidentiality regarding all sensitive business information.
3. Client Database Management
Manage and update client profile cards (CRM/NTS) specifically for the apartments sector.
Ensure all client data is updated in a timely and accurate manner.
4. Committee Support and Interdepartmental Coordination
Prepare necessary documentation and materials for Commercial Committee meetings.
Manage the distribution of materials to colleagues and relevant stakeholders.
Execute urgent tasks and assignments from management and related departments as needed.
Requirements
Education: Bachelor’s degree (Economics, Management, or related fields preferred).
Experience: Minimum of 3–5 years of experience in document management, reporting, and approval workflows.
Technical Skills: Advanced proficiency in MS Excel, Word, and Outlook; experience with corporate data storage systems.
Soft Skills:
Exceptional attention to detail and ability to handle large volumes of data.
Strong organizational skills and the ability to multitask under tight deadlines.
Excellent communication skills for effective cross-departmental collaboration.
Languages: Proficiency in English is required.
Mindset: A responsible, proactive approach to tasks and a readiness to support the immediate supervisor with ad-hoc requests.
