Project Coordinator with IT Business Analysis Background

Role Overview

We are looking for a proactive and organized professional to support our R&D projects. This role focuses on project administration, reporting, planning, and communication within the development team and with external stakeholders/customers. In addition, the position includes supporting system analysis and requirements engineering, assisting in software testing, and contributing to documentation and user support.
This is not an entry-level role—we expect prior experience in project coordination or similar functions, combined with strong organizational and communication skills.

Key Responsibilities

Project Administration & Coordination
  • Assist the Project Manager in planning, scheduling, and tracking project activities, milestones, and deliverables.
  • Prepare and maintain project documentation, including status reports, meeting minutes, and dashboards.
  • Organize and facilitate project meetings, ensuring follow-up on action items.
  • Support communication between internal teams, external stakeholders, and customers.
  • Monitor project progress and escalate risks or delays.
Reporting & Documentation
  • Prepare regular progress reports and presentations for management and stakeholders.
  • Maintain accurate and up-to-date project records in tools such as Jira and Confluence.
  • Assist in resource planning.
Quality & Testing Support
  • Collaborate with QA to execute test cases and report defects.
  • Support user acceptance testing and document results.
System Analysis & Requirements Support
  • Assist in gathering and documenting requirements under the guidance of senior analysts.
  • Help prepare simple process diagrams (Flowcharts, BPMN) and maintain specifications.
  • Contribute to interface mockups and prototypes when needed.
User Support & Maintenance
  • Help update user manuals and training materials.
  • Provide first-line support in coordination with the maintenance engineer

Requirements

  • Education: Bachelor’s degree in Business Administration, IT, Engineering, or related field.
  • Experience: 2–4 years in project coordination, project support, or similar roles.​​​​​
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication in English.
    • Familiarity with project management tools (Jira, Confluence, MS Project, or similar).
    • Basic understanding of software development lifecycle and Agile principles.
    • Ability to create and maintain documentation and reports.
  • Technical Awareness: Basic knowledge of system analysis concepts, testing processes, and IT terminology.

Nice-to-Have

  • Experience with diagramming tools (Draw.io, Visio) and UI prototyping (Figma).

  • Familiarity with SQL or basic data analysis.

  • Exposure to BI tools (Power BI, Tableau).

  • Understanding of APIs and system integration principles.
