Job Purpose Summary: The Student Affairs Coordinator serves as the primary liaison between the KSA Cabinet, KSA student organizations, and the University units. The position contributes to a dynamic campus environment by providing supervision, mentorship, and operational guidance to student leaders. Through oversight of extracurricular programs, budget, and event management, the Coordinator ensures student governance continuity, compliance with University policies, and the successful implementation of student-led initiatives that enrich the overall student experience.
Key Responsibilities and Duties:
Serve as the main point of contact between the KSA Cabinet, student organizations, and University departments, ensuring timely resolution of issues.
Provide ongoing mentorship, training, and professional guidance to KSA Cabinet members, committee chairs, and leaders of student clubs.
Preserve institutional memory and support leadership transition processes to maintain continuity in student governance.
Provide administrative support and coordination for all KSA activities.
Establish and periodically update standards, guidelines, and best practices for student governance and event management.
Prepare and present regular progress reports with data on student engagement, event participation, and resource utilization.
Participate in KSA Tender Committee and Budget Committee hearings, as well as general KSA meetings. May also be assigned as a Student Affairs office representative for KSA-level committees and meetings.
Coordinate Student Affairs office’s activities and support the organization of student events, and projects and initiatives within the Student Affairs office.
Maintain comprehensive records of planned events, collaborate with the Student Government to schedule student events, liaise with student organizations to review and confirm event arrangements, oversee the initiation and processing of payment requests, ensure the timely procurement and availability of required items, and monitor the distribution of materials to students prior to events, submit reports to the accounting department.
Coordinate and assist in the planning and execution of Student Affairs office events, including, but not limited to KSA Elections, KSA Inauguration, Culture Day/Nauryz celebrations.
Review and process student requests for extracurricular activity confirmation certificates and verify student organization memberships for exchange program applications, ensuring accurate documentation and timely responses.
Perform additional duties as assigned by the Executive Director of Student Affairs.
Required qualifications:
Bachelor’s degree required. Minimum 3 years of experience in student affairs or education field. Excellent communication, conflict resolution, and interpersonal skills. Proficiency in English language is required.
Preferred requirements:
Prior experience in event coordination and budgeting skills.
