Key Responsibilities

• Using the University’s charter, travel policy and internal documents, provide detailed advice and guidance on international cooperation and academic mobility program processes and procedures.
• Provide effective immigration and consular advice and support for academic staff and other visitors.
• Manage the visa application process, including: collating information; preparing invitations; producing visa letters, petitions and other accompanying documents; submitting documents in support of obtaining entry visas, work permits and other documents necessary to ensure the functioning of Cardiff University Kazakhstan.
• Manage travel arrangements for academic staff, professional service staff, students and visitors, including: finding and booking appropriate air, rail and other travel; organising transfers and accommodation; monitoring compliance with internal regulations and the approved budget.
• Prepare documentation and conduct correspondence as appropriate in Kazakh, Russian and English, e.g. agreements, applications, memoranda, report and letters.
• Establish productive relationships with key individuals (University colleagues and external contacts) to help improve the level of service the team provides to its customers.
• Support the organization and staging of international conferences, forums, exhibitions and other events.
• Support welcome events and induction for foreign visitors and staff.
• Horizon-scan for risks that may affect the International Cooperation team’s work and for opportunities to enhance it.

• General Duties

• Abide by all University policies and undergo appropriate personal and professional development.
• Perform other duties which are not included above, but which will be consistent with the role.

Требования:

Essential Qualifications & Experience

• Proficiency in English (level not lower than B2 on the common European framework CEFR, confirmed by IELTS, TOEFL or similar certificates), Kazakh and Russian.
• Ability to communicate in writing clearly, concisely, and effectively to provide detailed advice and guidance.
• Evidence of a good standard of numeracy and IT literacy.
• Experience of working in an administrative role or environment and ability to set up standard office systems and procedures (including online communication tools), making improvements to these as appropriate.
• Ability to communicate specialist and complex information effectively and professionally to a range of customers.
• Ability to explore customers’ needs and adapt the service you provide accordingly to ensure a quality service is delivered.
• Ability to use your initiative and creativity to solve problems, respond to queries and make recommendations, identifying and proposing practical solutions.
• Ability to work unsupervised to deadlines, planning, setting and monitoring your priorities.
• Experience of business and diplomatic work, or intercultural communication.

• Desirable

• Higher education qualification in the field of international relations, linguistics, education, management or law.
• Experience in obtaining visas, organizing trips and accommodating guests.
• Experience in international projects (academic, educational or administrative).
• Knowledge and use of CRM systems or specialized software for project management.
