The school is seeking a School Receptionist to support daily operations and ensure smooth communication between students, parents, staff, and visitors. This role is essential for maintaining accurate attendance records, managing front desk activities, and creating a welcoming and well‑organized school environment.
Key Responsibilities
Front Desk & School Environment
Arrive at work no later than 7:30 a.m.
Prepare the reception area for the start of the school day.
Maintain a tidy, professional, and welcoming entrance area throughout the day.
Greet students, parents, staff, and visitors in a polite and professional manner.
Escort visitors within the school premises when required.
Manage daily communication via corporate phone, email, and WhatsApp.
Student & Staff Attendance
Record daily student attendance in the Toddle system.
Monitor completion of attendance by teachers and follow up if required.
Communicate with homeroom teachers regarding student absences.
Contact parents to clarify absence reasons and update records accordingly.
Post daily absences in designated WhatsApp groups.
Maintain staff absence and attendance records.
Early Student Departure
Receive and process early departure requests (before 3:30 p.m.).
Confirm approval from the homeroom teacher, school doctor, and administration.
Inform security and relevant staff of approved early departures.
Record early departures in the tracking log.
Politely remind parents that early departures are discouraged and appointments should be scheduled after 3:30 p.m. whenever possible.
End‑of‑Day Procedures
Support student dismissal and respond to parent inquiries.
Ensure all students have been collected.
Prepare the reception area for the following school day.
Administrative Duties
Check incoming emails daily and notify administration and teaching staff of important updates (absences, illnesses, events, etc.).
Respond to parent inquiries and manage correspondence.
Receive, register, and distribute medical certificates and official documents.
Perform other administrative tasks as assigned by the school administration.
School Uniform Management
Manage school uniform sales.
Receive payments and prepare delivery notes.
Submit documentation to the Accounting Department.
Monitor uniform stock levels and prepare purchase requests when needed.
Requirements
Previous experience as a receptionist or administrator (experience in a school environment is an advantage).
Strong communication and customer service skills.
Ability to work with documentation and digital record‑keeping systems.
High level of responsibility, organization, and attention to detail.
Ability to multitask and work in a fast‑paced environment.
