Job Description
- providing administrative and organizational support to the Vice Provost for carrying out his/her activities (work schedule planning, arranging meetings, handling of outgoing and incoming e-mail correspondence, managing Vice Provost’s electronic document management, etc.);
- managing Vice Provost’s operational activities (arrangement of home leave travel documentation, etc.);
- preparation of information and reference material on issues concerning main duties and activities of the Vice Provost;
- control of management and storage, condition and safety of the Vice Provost documents before submission of them to the University Archive;
- transferring files to the University Archive according to the File Register of the Vice Provost;
- development of annual draft File Register of the Vice Provost;
- checking documents submitted for the Vice Provost’s signature or decision-making against a proper drafting and conformity with internal rules and regulations of the University;
- planning and arrangement of business trips for the Vice Provost (arrangement of travel documentation, submission of business trip reports to relevant structural units of the University);
- upon Vice Provost’s request, accompanying the Vice Provost at his/her meetings, business trips;
- upon Vice Provost’s request, providing administrative and organizational support for special events conducted by Vice Provost’s initiative;
- providing administrative and organizational support for events conducted by the Provost’s initiative.
- during the absence (business trip, leaves, sick leave) of Executive Assistant to Provost and/or Assistant to Vice-Provost to fulfill his/her duties according to Executive Assistant and/or Assistant to Vice-Provost’s job descriptions;
- drafting letters, requesting documents, preparing memos and draft decisions necessary for executing duties and functions of the Office, within his/her competencies;
- providing support in drafting plans (operational plan, action plan and procurement plan), implementation of activities and liaison with the Head of the Office on the status for a specific period;
- participation in preparation of proposals and adjustments to annual budget of the University with regard to administrative expenses of Office;
- regular upgrade of his/her professional qualification;
- execution of instructions and assignments of the Vice Provost and the Head of the Office in due manner;
- participation in identification, evaluation, management and monitoring of risks within the framework of supervised direction;
- timely and proper fulfillment of other orders of the Vice Provost, the Head of the Office and the University management within the framework of his/her responsibilities and powers
Qualifications

Education
Higher-professional, preferable from the higher education institutions with English language of instruction;
Qualifications

Work experience
Required work experience is defined in accordance with standard qualifications for administrative positions at the autonomous organization of education “Nazarbayev University”.
Preferred at least 1 year of work experience in educational institutions, international teams
