The British Embassy in Kazakhstan is part of a world-wide network, representing British political, economic, trade, and consular interests overseas, and is now looking for a Operations and Logistics Officer to join its Corporate Services team in Astana.
Main purpose of the job:
As a Operations and Logistics Officer, you will provide comprehensive operational, logistical, and administrative support to the British Embassy.
The jobholder will support different financial processes and act as a key link with external service providers such as DHL, while being the direct line manager for two Drivers and responsible for the coordination of contracted cleaners.
Roles and responsibilities:
Logistics/transport manager (30%)
Liaison with the Administration for Service to the Diplomatic Corps on official and diplomats’ vehicles registration/de-registration including other legally mandatory procedures. Transport bookings system coordination, annual transport insurance handling, line-manage Embassy drivers, mileage and fuel records monitoring.Support logistical arrangements for high-level visits.Manager of Post’s mobile phone connections.Assistance with Tarmac access at the international airport when covering for CSO colleagues.Administrative Support (30%)
Front-of-house duties including visitor reception, switchboard operation, and building access control.Management of incoming and outgoing mail, diplomatic bags, and courier services.Visa support and accreditation.Oversight of stationery, cleaning supplies, and business card orders.Execution of emergency drills (fire, bomb, incident) and support for health and safety procedures.Act as a Fire Warden.Translation support and document preparation as needed.Acting as deputy for the Corporate Services Officer during absences.Financial Assistance (30%)
Lead requisitioner and receiver for the Mission, with expertise in the P2P process and procurement rules.Invoice and DS handling and submission via Invoice and DS Upload systems.Support to the Accounts section on invoice control, cover for the Accountant in processing bank payments and liaison with the bank manager where necessary; .Primary liaison with Procurement and GTPC Hubs on Supplier management list and invoices.Cover for the PA to the HMA in their absence (10%)
Essential qualifications, skills and experienceEssential on arrival:
Fluency in English, Russian and Kazakh written and spoken (minimum of C1 CEFR level language*).A minimum 2 years of experience in Administrative and Operational in similar roles including procurement and office operations.Experience in liaising with local service providers and government authorities.Excellent communication and interpersonal skills, including a proven ability to communicate clearly and professionally with internal teams, external partners, and senior stakeholders, both verbally and in writing.Proficiency in Microsoft Office components (Outlook, Word, Excel...)Resilience and adaptability.Capacity to work effectively under pressure, manage competing priorities, and adapt to changing demands in a dynamic environment.A self-starter that can work well both individually and in a team. Salary will be 1,751 USD per calendar month (gross). Please note that it is the employee’s responsibility to pay individual income tax.
The start date mentioned in the advert is just an expected start date. The appointment can start earlier or later depending on several factors. Flexible working may be accommodated on request.
Employees are entitled to annual leave entitlement pro-rata based on 25 days total per calendar year. In addition, the Embassy observes up to 14 days public holidays marking different Kazakh and UK holidays.
The successful candidate will be subject to confirmation of a professional background check and security clearance and is expected to commence employment as soon as possible.
Visa/work permit requirements: The successful candidate must have pre-existing work authorisation for the Kazakhstan in order to apply. All applicants should have the right to live and work in Kazakhstan. The British Embassy does not sponsor applications for work permits.
